Campus Mail Services is an administrative unit of Facilities Management and Planning, organized to provide postal, small-parcel, and air express shipping and distribution services, as well as operate the intra-campus mail deliveries.
These services are provided to the faculty and staff of the university and other affiliated organizations residing on campus for university-related business.
Business Reply Mail, or BRM
When a response is needed, a BRM is the preferred method of use and the university is willing to pay the postage. The advantage to BRM is that in a mass mailing we pay postage only on the pieces that are returned.
Please do not have BRM prepared by Student Publicity Services or any off-campus print/copy services. Instead, contact publications at (541) 552-6155. Contact Campus Mail Services at (541) 552-6201 for more information.
Courtesy Reply Mail, or CRM
A CRM is an optional method. The university prints and provides clients with a pre-addressed but not prepaid envelope. Clients place their own postage on the envelope.
Pre-metered Mail
With pre-metered mail, undated postage in the exact amount is applied to the envelope before it is sent out. The envelope must also be stamped with special wording by Campus Mail Services.
Postal Service’s Qualified Business Reply Mail Program, or QBRM
The university agrees to comply with very strict formatting requirements that make the BRM automation compatible. In return for compliance, the university receives a substantial discount (see table below for details).

Heavier pieces require the use of a business reply label. These peel-and-stick labels are available from Campus Mail Services for $0.08 each.
Business reply mail 1 ounce envelopes are available from Print and Copy Services. These are generic envelopes that will need to have your departments name either written or stamped in the return address area.
If you wish to have a more personalized look or logo for your mail, customized business reply envelopes and postcards are also available from Print and Copy Services. Contact them at (541) 552-6134.
Mail Deadlines
Overnight Air Services
- UPS items must be in Campus Mail Services by 2:30 p.m.
- Federal Express items must be in Campus Mail Services by 11:00 a.m.
- DHL Worldwide items must be in Campus Mail Services by 11:00 a.m.
- Express Mail, Next Day and Second Day deliveries must be in Campus Mail Services by 2:45p.m. Service is not guaranteed to most parts of the country.
Outgoing, Regular U.S. Mail
- Item must be in Campus Mail Services by 3:30 p.m.
Items for Intra-Campus Distribution
- Item must be in Campus Mail Services by 3:30pm for next-day delivery.
Bulk Mailings
- Item must be in Campus Mail Services before noon to receive next-day service.
Larger mailings (1000+) will require more time and may be dispatched 1-3 days later. Please plan accordingly.
Education Service District Courier Service
The ESD (Education Service District) Courier is a shuttle service operated by the Jackson Education Service District. Its primary mission is to provide a courier service to transport audiovisual and other media materials, books, and supplies to and from the various schools within its district boundaries. It interconnects with couriers from Josephine and Klamath Counties so schools within those districts can also be accessed. A complete schedule of their routes can be otained by calline the ESD office at (541) 776-8560.
- The ESD Courier service operates typically from mid-August to mid-June.
- The ESD Courier delivers and picks up M-W-F at Campus Mail Services between 8:00 a.m and 8:15 a.m.
- The ESD asks that items be addressed with the 1. person’s name, 2. name of school, and 3. name of the district the school is in. It helps to date the item. Always include a return address.
- The ESD Courier service is for business use only. Personal items may not be shipped via ESD Courier.
- The state shuttle bus service does not operate south of Eugene.
Campus Mail Services Work Order
Guidelines for using Campus Mail Services Work Orders
- Provide a CMS Work Order with your mail piece(s), if you do not, we will assume you are asking for First Class postage and that you want it to be charged against your main Index Code.
- A CMS Work Order must be used to request special services or a carrier other than the post office.
- Use a CMS Work Order if your department has an array of Index Codes or if you want to use an Index Code that is not usually charged.
- You may fill in your Index Code before printing out the Campus Mail Services Work Order. Please notice you will get three work orders per page, so there are three places to fill in the Index Code.
- You may choose any color paper for your work orders.
